Facilities Incident Notification Process

What's Changing

Facilities has a new process for incident notifications. Incidents are unplanned and urgent events affecting an entire building or larger area. Notifications will be sent around the clock - 24 hours a day, 7 days a week, 365 days a year from a new dedicated email address:

[email protected]

This process applies only to specific incidents and is separate from communications about planned Facilities work, emergency phone call procedures, or Everbridge notices sent from Security. The process will begin right away and will be enacted upon the next incident event.

What Is an Incident?

Incidents are unplanned, urgent situations that may impact:

  • Life safety (fire, flood)
  • Equipment and service outages affecting research (i.e. fume hoods, nitrogen, deionized water)
  • Critical utilities (heating/cooling water, steam, power)
  • Elevator entrapments

These events require immediate, transparent communication so the campus community can take appropriate action.

Why We're Making This Change

This improvement supports our commitment to:

  • Safety – delivering urgent information as quickly as possible
  • Timely notification – communicating when incidents occur, not just during business hours
  • Transparency – providing clear, real-time awareness of operational impacts
  • Clarity of message – separating urgent incidents from planned work so customers immediately understand the level of concern

By distinguishing incidents from planned activities, we reduce confusion and help the campus quickly recognize when something requires immediate attention.
